Partners in Population and Development (PPD) is an Inter- Governmental Alliance of 26 developing countries established with a mission to expand and improve South – South Cooperation in the fields of reproductive health, population and development through policy dialogue, capacity building, knowledge management, sharing, exchange and transfer of knowledge, experience, expertise and best practices among the member states and other developing countries. PPD Secretariat located in Dhaka provides central point for networking and clearinghouse of information for the member states, development partners and other stakeholders. Headquartered in Dhaka, Bangladesh, PPD has a Regional Office in Kampala, a Program Office in Shanghai, a Liaison Office to the UN in New York and a Diplomatic Mission in Geneva. Position: Admin/Finance Assistant

DUTIES AND RESPONSIBILITIES / SELECTION CRITERIA:
Under the overall leadership and guidance of the Executive Director, the incumbent will be working under close supervision of the Finance and the Administrative Managers and provide finance and administrative support primarily to the Line Supervisors as well as other professional staff members of the Secretariat. The job requires extensive interpersonal communication skills in a multi-cultural environment of national and expatriate professionals and excellent spoken and written command of English. The broad responsibilities of the incumbent include, but not limited to, the following:
Administrative
- Receive, screen and place incoming phone calls to the respective officials and make outgoing calls on request of the staff members.
- Receive external visitors, connect with the concerned officials and/or arrange meetings if necessary.
- Receive incoming mails, record them in the incoming register and distribute to the addresses.
- Record all outgoing mails in the Outgoing Register, dispatch them through appropriate means such as fax, email, postal mail, courier service according to the advice of the administrative manager and ensure receipt of the mails by the concerned recipient.
- Maintain inventory/stock register all expendable, non-expendable items and forecast necessary reorder/procurement needs.
- Provide administrative support services to the organization of the annual governance and other technical events, conferences, seminars and symposiums.
- Develop and continuously maintain office filing system recording all relevant documents in appropriate manner so as to efficient retrieval when necessary.
- Take notes for development of the minutes of the general staff meetings and other internal meetings as well as meetings with external organizations and individuals.
Finance
- Maintain Petty-cash, make timely replenishment in order to ensure continued flow of liquidity for defraying recurring expenses.
- Make all kinds of banking transactions including, international wire-transfer, foreign currency endorsements, secure information and documents of incoming and outgoing international remittances,
- Deliver payment Cheques to staff members, vendors, suppliers and service providers and maintain register and records of the payments.
- Maintain document and register for official advances extended to the staff and keep track of repayments.
- Maintain record of payment vouchers in orderly manner with necessary supporting documents and signatures.
- Extend assistance to Finance Manager in the efficient retrieval of documents and conducting annual and periodical audits.
- Maintain all original accounting and financial documents in the files in systematic manners for efficient retrieval when necessary.
REQUIRED QUALIFICATIONS:
Key Qualifications, Competencies and Experiences:
- Bachelor Degree in any discipline with proficiency in English. Working knowledge of French will be considered as added advantage.
- Minimum 3 years of working experience with UN Agencies, international organizations and/or multinational conglomerates.
- Good functional knowledge of Computer Operation Software Packages such as (MS Word, MS Excel, PowerPoint, Internet and Email etc.)
